Most businesses at this point do one of two things. They say yes without understanding what they are paying for. Or they say no to save money and later discover that a compliance update or a minor configuration issue can cost more to fix ad hoc than the contract would have cost for a full year.
This guide tells you exactly what a good ERPNext annual maintenance contract includes, what it does not include, what it actually costs in India, and what questions to ask before signing anything.
An ERPNext AMC is a fixed-fee agreement between your business and your implementation partner. In exchange for a monthly or annual fee, your partner provides ongoing technical support, system maintenance, and a defined set of services to keep your ERPNext instance running smoothly and staying compliant with Indian regulations.
The key word in that definition is defined. A good AMC spells out exactly what is covered, what the response time is, and what falls outside the contract scope. A vague AMC that simply says “support included” is a red flag, not a reassurance.
One important distinction: an AMC is not the same as hosting. Hosting is the cost of running your server, whether on Frappe Cloud, AWS India, or your own infrastructure. An AMC is the human support that sits on top of that. Always confirm whether hosting charges are inside or outside the quoted AMC price before comparing providers.

If something in your ERPNext instance stops working correctly, your partner investigates and resolves it within the agreed SLA. When the government changes an invoice format or adds a new GST return, your ERPNext instance needs to be updated to stay compliant.
Without an AMC, you discover these compliance gaps during a filing, not before. With an AMC, your partner applies the relevant updates proactively, typically when Frappe releases a patch. This alone justifies the cost of an AMC for most Indian businesses.
ERPNext releases major version updates every 12 to 18 months. A basic AMC may not include full version migrations. A standard or premium AMC typically includes minor version updates and patches. Full version upgrades, such as moving from ERPNext v14 to v15, are often a separate service but may be included in premium plans.
A good AMC includes periodic verification that your backups are running correctly and that the system is performing as expected. This is not the same as hosting, where backups may be automated. Verification means someone confirms your backup files are complete and restorable, not just that the backup job ran.
An SLA, or service level agreement, specifies how quickly your partner will respond to different types of issues. A critical issue affecting your ability to operate, such as a GST filing failure on the last day of the quarter, should have a response time of 2 to 4 hours. A non-critical query about a report format might have a 24 to 48 hour response time.
Without a defined SLA, your AMC is essentially a best-efforts agreement. That is not adequate for a system your business runs on.
